A week at the office with ArchiFlow

Three situations you know.

Wednesday, 11:40

The client calls to ask what stage the project is at.

Instead of digging for the last email they open the portal: concept done, floor plans in progress, 2 of 4 tasks complete.

See how it works
Contract to sign

The design contract is waiting for the client and the site manager.

Two links, two signatures on gov.pl, one PDF with both in the Podpisane folder. No printer, no scanner.

See how it works
The lost file

The client asks for the ground floor plan that was in an email three weeks ago.

The file sits in the project folder on Drive, assigned to the Floor plans stage, tagged New in the client portal.

Working with your client on a project — in one place

From the first concept to the application at the authority. Nine features that support the daily work of an office.

Client portal See

Client portal

One link to all of the client's projects. They see what is new, what they need to do and what happened since their last visit. They enter with the link and set up an account only if they want to.

Office and client See

Trusted-profile e-signatures

Contracts and statements signed by the client, site manager or engineer without printing. The signed PDF lands back in the project folder.

Office panel See

Documents for the authorities from project data

Power of attorney, PB-1, PB-5, reply to a summons, driveway permit application. Office, investor and plot data flow in on their own, you check what is missing and download DOCX or PDF.

Office and client See

Stages and timeline

Stages with a percentage share, status and subtasks. Changes save themselves and the timeline shows the client where you are.

Office and client See

Files on your Drive or Dropbox

Connect the project folder, upload from the panel, assign files to stages. Files stay with you, the client downloads them from the portal.

Office and client See

Discussion with notifications

One thread per project. The client gets an email about a new message and a completed stage, the office about a new signature.

Office panel See

Eight ready-made stage sets

Single-family house, adaptation, multi-family, commercial, interiors, extension, legalisation, change of use. Copy and adjust.

Office panel See

Team and roles

Architects run projects, the office admin manages templates, users and settings. Sign in with a password or a Google account.

Client portal See

Your office, your colours

Logo, accent colour and contact details of the office in the client portal. Interface in Polish and English.

Trusted-profile e-signatures

Signatures without printing
and scanning.

You pick a PDF and the people who should sign it. Each gets a personal link and signs with the Polish trusted profile on gov.pl, the same way they sign letters to public offices.

  1. 1
    Downloads the document
The current version of the file, with the previous signatures in it.
  2. 2
    Signs on gov.pl
Trusted profile, mObywatel or a bank login. Nothing to install.
  3. 3
    Uploads the signed PDF
The file lands in a Podpisane subfolder of your project folder.
  • Several signatures in one file, one after another
  • Email reminder with one click
  • The panel shows who has signed and who has not
  • The client signs straight from their portal

What ArchiFlow does not do

These stay in the tools you already use.

Drawings and models

ArchiFlow is not CAD or BIM software and does not replace ArchiCAD or Revit. You save exports in the project folder and the client sees them at the right stage.

Accounting and invoices

You issue invoices in your accounting software. ArchiFlow does not handle billing with the client.

Sales and proposals

There is no sales pipeline and no proposal builder. ArchiFlow starts at the contract and runs the project through to handover.

Questions and answers

Getting started

Which software should an architecture office choose?
One that shows the client progress without extra emails, keeps files where you already store them and handles Polish paperwork. Trello or Asana work well for team tasks, but the client has no view of their own, and contracts and applications happen elsewhere. ArchiFlow has a client portal, project stages, trusted-profile e-signatures and PB-1 from project data.
Is ArchiFlow a CRM for architects?
Partly. It has a client list, contact people, the discussion and documents for every project. There is no sales pipeline or quoting: ArchiFlow starts with the client contract and runs the project until handover.
Is my data safe?
Data is encrypted in transit and at rest and every office is isolated from the others. On Drive and Dropbox ArchiFlow only reaches the folders you point to, and you can disconnect it with one click in Settings.

Client access

Does my client need to create an account?
No. The client gets one link to all of their projects and signs documents with the same link. If they want, they create an account with a password or Google login and enter through “Sign in” on this site.

Files and stages

How do I share project files with a client without emailing them?
Connect the project folder from Google Drive or Dropbox and assign files to stages. The client sees them in the portal and downloads them with one click, and you stop sending attachments or drive links.
Where are the files stored?
On your office's Google Drive or Dropbox. ArchiFlow keeps only the list of files and links, it does not copy content. Signed documents go to a Podpisane subfolder in the project folder.
Can I create my own stage sets?
Yes, in every plan, including Free. Copy one of the eight ready-made sets or build your own and use it in new projects.

Documents and signatures

How does the trusted-profile e-signature work?
You pick a PDF and the people who should sign it. Each gets a personal link, downloads the document, signs it on gov.pl (trusted profile, mObywatel or a bank login) and uploads the signed file. The next person signs the version with the previous signatures, so all of them end up in one PDF.
Is such a signature legally valid?
In Poland the trusted signature has the force of a handwritten signature in dealings with public offices, and a design contract signed with it by both parties is valid unless the law requires a notarial form. ArchiFlow does not alter the file and stores it in your project folder. When in doubt, ask your lawyer.
Which documents for the authorities does ArchiFlow generate?
Seven templates: investor power of attorney, PB-1 (building permit application), PB-5 (statement of the right to use the property), reply to a summons, reply to a ruling, driveway permit application and agricultural land exclusion application. Office, attorney, investor, plot and authority data come from the project, and before generating you see a list of missing data with links to the fields. You get DOCX and PDF, and make corrections in Google Docs.

Plans and payments

How many projects can I run for free?
The Free plan covers up to 50 active projects and 5 users, with the client portal, e-signatures and documents for the authorities. Archive finished projects to stay within the limit. E-signatures and the Drive and Dropbox integrations are unlimited in every plan.
Can I try Studio or Office?
Yes. You can use either paid plan free for 14 days, no card required. After that an office without a paid subscription returns to the Free plan, and projects and data stay.
When should I move to a paid plan?
When the office reaches a Free plan limit: 50 active projects or 5 users. Studio adds document corrections in Google Docs, plot data from ULDK and a portal without the ArchiFlow footer; Office also adds the event log and several clients per project. Write in the app support chat or to hello@archiflow.tools and we switch the plan. Projects and data stay as they are.
